What Makes a Law Firm Trustworthy

A law firm’s website tells you what it would like to be. It rarely tells you what it is like to instruct it — whether a lawyer answers when you need one, whether you understand the advice you were given, or whether the firm does what it said it would do.

Reputation is not a substitute for that. In a well-run practice, the things clients notice are ordinary and specific: they are answered on time, the person who promised something is still the person responsible for it, and difficult news arrives early rather than late.

Four signals tell you most of what you need, and five questions confirm it once a matter is live.

None of these require deep research. Each can be observed in a single conversation.

Signal What you are actually learning
The first reply arrives when promised Whether the firm manages its own commitments. Promised response times are a small, testable promise.
The person answering knows the file Whether the firm is organised around clients or around whoever picked up the phone.
The advice includes the difficult part Whether you are being advised or reassured. Real advice names the weakness in your position.
The team introduces themselves by name Whether accountability sits with people you can identify, or is dispersed until something goes wrong.

A single conversation will not tell you everything, but it will tell you whether the firm is worth a second one. That is usually the decision you are actually making.

Who will be responsible, and who will be a backstop

One named lawyer with identified supervision. Ask which matters are handled by whom — the answer should be specific, not a general description of the department.

That the firm is authorised in the relevant jurisdiction

Registration, and any position on a regulator’s register, are checkable facts. Ask, and then check.

How conflicts are identified and cleared

Any firm with real clients runs a conflicts process. If yours is described as something informal, ask what happens when a conflict appears mid-matter.

Where your matter will sit and how it will be shared

Whether files, communication and documents are held securely, and who can see them beyond the immediate team.

How progress will be reported without being requested

A firm that reports on its own initiative is one where you will not have to chase for information at the moment it matters.

The most useful single test: give the firm a problem you are not yet ready to act on, and see what they do with it. A good firm frames it, identifies what is missing, and tells you when it is not yet answerable. A weak firm either answers immediately or refers you to a brochure.

Who owns my file day to day?

When the original contact is unavailable, you want a named person who can act — and you want to know their name now, not during the week it matters.

What could still go wrong, and what would you do?

Asking this early is what makes it useful. Once the work is under way, the answer becomes a summary of what has already happened.

What do you need from me, and by when?

Clients rarely hold up a matter through indifference; they hold it up through not knowing. A clear request list, with dates, is the cheapest speed-up available.

What will we measure when this is done?

Instructing a lawyer without defining the outcome is the most common reason a matter feels unresolved at the end.

Who reviews the work?

Even in a small practice, someone other than the drafter should read the final version. If nobody does, ask what would happen if a clause were wrong.

Taken together, these are modest expectations — and that is the point. A firm that meets them is not exceptional; it is competent, which is what you are paying for. The firms that struggle are rarely the expensive ones, but almost always the ones where nobody could say who was responsible.
